7 Questions to Ask Before You Trust a Shopify Catalog Export

Check scope, variant identities, SKUs, image links, currency and coverage before handing a Shopify catalog export to someone else.

A catalog export is about to become somebody else's working file. Before you send it to a colleague, merge it with another supplier sheet, or use it to compare a product range, answer seven questions.

You can use this checklist with Catalog Prep or another exporter. Start with an untouched download so you can separate source observations from changes made during review.

1. Which scope did you actually capture?

Keep the exact store, collection, or product URL. A collection name is not enough to establish scope. A collection called All Products can still differ from the public whole-store feed.

Record the selected scope beside the file. When someone asks why a product is absent, you need to know whether it belonged in the requested set before investigating extraction.

2. Are you counting products or variant rows?

One product with several sizes can occupy several rows. Count distinct product identities for products and distinct variant identities for variants.

Use a multi-option product as a sample. Confirm its parent-child relationships before interpreting a large row count as broad catalog coverage. A row total alone cannot tell you whether options survived correctly.

3. Did identifiers survive opening the file?

Import IDs, SKUs and barcodes as text. Check a leading-zero value and a long numeric identifier before adding formulas or joining tables.

For an illustrative example, 00042 becoming 42 changes the source string. If that change happened in spreadsheet interpretation, repeating the export will not fix the import method.

Catalog Prep's ZIP includes a text-typed Excel workbook for inspection. Its exact CSV preserves the source values for a controlled import.

4. What happened to missing or reused values?

A missing SKU is unknown source information. A reused SKU can occur on distinct variant identities. Neither should automatically remove a row from the catalog.

Keep missing-field notes and identity together. Resolve the business meaning with the supplier or an appropriate authorized source rather than silently inventing a replacement identifier.

5. What do the image fields represent?

Distinguish a product gallery from a specific variant-image association. Follow a few links and check that they belong to the expected product.

Catalog Prep exports image links and available metadata, not image binaries. A workflow that requires actual files needs a separate permitted download step. Preserve the original reference and capture context if an asset is later copied elsewhere.

6. Is the price comparison meaningful?

Keep the source amount with its currency evidence and observation time. A familiar symbol or active page currency should not silently become proof of feed currency.

Unknown currency is a reason to qualify a comparison. If you apply a conversion yourself, put it in a separate calculation with its rate and date. Do not overwrite the source value.

Public availability is also a limited observation. It is not actual stock quantity or a sales count.

7. What ended collection?

A cap, interrupted request, blocked source and observed end of a public feed have different meanings. Read the capture status and warnings before describing the file as complete.

Catalog Prep Free includes 100 captured products per UTC calendar month in the browser profile. Pro removes the monthly quota and has no fixed product or variant cap per run. Browser memory, storage and source access still affect coverage. Check the current listing before planning a larger job.

Turn the answers into a handoff note

Write a short note containing the source, scope, date, product and variant counts, known limits, and unresolved questions. The export-quality worksheet gives you a repeatable place to record the checks. Keep your review labels in a separate working copy.

The next person should be able to find one product, its options and the reason a field is missing without recreating your browser session. That is a practical standard for a usable export.

For a public collection in front of you, Catalog Prep for Chrome provides local capture, preview and file downloads. Begin with a small scope and use the seven questions before expanding it.
